Auto Email:
Auto Email is a new feature that sends out replies and e-mails to potential and existing customers on a time frame. This feature can send follow-up mail in some time factor and so on. This helps in saving time spent on drafting and sending emails to multiple guests and also allow maintaining uniformity to communicate.
Auto Email feature is an automated program which sends the mails in specific time schedule against sending date options.
The time schedule for Auto emails is done in Global settings. A List of 7 mails is Pre-Defined which cannot be modified or deleted. But can add new custom mails that can be modify and delete.
Pre-Defined Mails:
• Confirmation Mail
• Thank You Mail
• Pre-Check In Mail
• Birthday Mail
• Anniversary Mail
• News Letter Mail
• Online Confirmation Mail
The mails which have to be sent are selected by checking the checkbox. The Letter has to be picked up from the options under Email Letter. The number of days for sending the mail should be entered in the textbox of Days field. The Send date options have to be selected from the drop down.
Mails can be personalized in addition to the pre-defined mails. New personalize mails can be added, modified and deleted.
When the add button is clicked the option for entering new mail name appears. The save image appears at the right side to save the custom mails. Cancel image also appears to cancel the custom mails if not needed.
After adding the custom mails the edit / cancel image appears at the right image for modifying the mail name. Validation is done for the name of the mail to be unique.
Automatically thank the guest for staying. Can send Birthday and Anniversary wishes to surprise the Guest etc.
The Quick Reservation, Full Reservation, Monthly Reservation, Package booking screens has the checkbox option for Auto Email. Based on the guest permission the auto email option can be checked for sending the automated mails on the scheduled date.
Online confirmation Mail works for online booking. This mail will be send instantly after booking in Online. If this option is not set in the settings the regular online confirmation mail will be sent to the guest.
